Artist FAQ

1.⁠ ⁠What is the Online Art Exhibition?

The Online Art Exhibition provides artists with an opportunity to showcase their work internationally through a dedicated digital exhibition for 18 months.

Selected artists may also receive additional visibility through the Tokyo International Art Fair online stand, official catalogue, promotional materials and Sakura Art Prize nomination opportunities, depending on their selected package.

Only space for the best 25 artists.

Curated. Once you apply give us 24hrs to review. If your art is not accepted you will receive full refund within 24hrs. If your art is accepted we will immediately email you requesting all material for your big launch!

2.⁠ ⁠How long will my artwork be exhibited?

Your artwork will be included in the online exhibition for 18 months from the official exhibition launch date or the date specified by the organiser.

3.⁠ ⁠How many artworks can I submit?

Artists can select from three exhibition packages:

SIGNATURE — 3 artworks

PREMIÈRE — 6 artworks

PRESTIGE — 10 artworks

Each package includes the benefits specified in the relevant package description.

4.⁠ ⁠Will my work be included in the Tokyo International Art Fair Online Stand?

Yes. Participation in the online exhibition includes inclusion in the Tokyo International Art Fair online stand, subject to the organiser’s exhibition format and submission requirements.

5.⁠ ⁠Will my artwork appear in the official catalogue?

Yes. Artists participating under the applicable package will have their participation represented in the official Tokyo International Art Fair catalogue, subject to meeting the submission deadline and technical requirements.

6.⁠ ⁠What is included in the Sakura Art Prize nomination?

Depending on the package selected, artists receive a complimentary Sakura Art Prize nomination.

The higher package may additionally include:

•⁠ ⁠Dedicated Instagram post

•⁠ ⁠Artist interview

•⁠ ⁠Additional promotional exposure

A nomination does not guarantee selection as a finalist, winner, award recipient, sale or other outcome.

7.⁠ ⁠Can I sell my artwork through the exhibition?

Artists may have opportunities to generate enquiries and sales from interested collectors, subject to the exhibition’s sales arrangements.

Participation does not guarantee artwork sales.

Unless otherwise agreed in writing, the artist remains responsible for agreeing the final sale price, payment arrangements, shipping, insurance, taxes and delivery with the buyer.

8.⁠ ⁠Will I receive exposure on social media?

Promotional exposure varies according to the selected package and the organiser’s promotional schedule.

Certain packages include dedicated social-media content, while additional social-media promotion may be purchased as an optional promotional upgrade.

9.⁠ ⁠Can I purchase additional exposure?

Yes. Artists may purchase optional promotional upgrades in addition to their exhibition package.

Examples may include:

PR & PRESS CAMPAIGN

A professionally prepared press release regarding the artist’s nomination, distributed through a network of 30+ online press/media sites, subject to the selected campaign and publisher availability.

TOKYO METRO / ROPPONGI PROMOTION

Optional outdoor advertising opportunities may be available in the Roppongi area of Tokyo. Any stated audience figures, including an estimated 3 million visitors weekly, are audience/footfall estimates and are not a guarantee of individual poster views.

Other promotional opportunities may include social-media features, artist interviews, editorial features, video/reel promotion and additional digital campaigns.

10.⁠ ⁠Do I have to purchase the additional promotional packages?

No. The additional promotional opportunities are optional and are not required to participate in the online exhibition.

11.⁠ ⁠Who owns my artwork?

The artist retains ownership and copyright of their artwork.

By participating, the artist grants the organiser a limited licence to reproduce and display submitted artwork and artist information for the purposes of the exhibition, catalogue, promotion, publicity and related communications.

12.⁠ ⁠Can I withdraw my artwork?

Artists should contact the organiser as soon as possible if they wish to withdraw.

Once promotional materials, catalogue pages, advertising or other campaign materials have been produced or published, withdrawal may not be possible immediately and previously published materials may remain in circulation.

13.⁠ ⁠What happens if I miss the submission deadline?

The organiser may be unable to include artwork or artist information in certain promotional materials if required materials are submitted after the relevant deadline.

Late submissions may be accepted at the organiser’s discretion.

14.⁠ ⁠What type of artwork can be submitted?

Artwork must be original work created by the participating artist and must comply with the exhibition’s submission requirements.

The organiser reserves the right to decline artwork that is unlawful, defamatory, discriminatory, infringing, offensive or otherwise unsuitable for the exhibition.

15.⁠ ⁠Will I receive a certificate?

Certificate benefits depend on the package selected.

Where included, the Certificate of Nomination will be issued in accordance with the organiser’s nomination process.

1.⁠ ⁠Participation

By purchasing an exhibition package or submitting artwork for participation, the artist confirms that they have read and accepted these Terms & Conditions.

Participation is subject to payment, submission of the required materials and compliance with the organiser’s submission guidelines.

 2.⁠ ⁠Exhibition Period

The selected artworks will be displayed online for 18 months, subject to the exhibition’s technical operation, website availability and circumstances beyond the organiser’s reasonable control.

The organiser may make reasonable changes to the exhibition format, website design, placement or presentation during the exhibition period.

 3.⁠ ⁠Artwork Submission

The artist is responsible for providing:

•⁠ ⁠High-quality artwork images

•⁠ ⁠Artwork titles and descriptions

•⁠ ⁠Artist biography/profile

•⁠ ⁠Correct contact information

•⁠ ⁠Any other information requested by the organiser

The artist confirms that all submitted information is accurate.

 4.⁠ ⁠Copyright & Intellectual Property

The artist retains all ownership and intellectual-property rights in their artwork.

The artist grants the organiser a non-exclusive, worldwide, royalty-free licence to reproduce, display and communicate the submitted artwork, artist name, biography and related materials for:

•⁠ ⁠Tokyo International Art Fair promotional activities

•⁠ ⁠Official catalogues

•⁠ ⁠Exhibition banners

•⁠ ⁠Websites

•⁠ ⁠Social media

•⁠ ⁠Press releases

•⁠ ⁠Advertising

•⁠ ⁠Publicity relating to the exhibition and associated awards

This licence is for promotional and exhibition purposes and does not transfer ownership or copyright to the organiser.

 5.⁠ ⁠Artist’s Representations

The artist confirms that:

 1.⁠ ⁠They own or control the rights necessary to submit the artwork.

 2.⁠ ⁠The artwork does not knowingly infringe another person’s copyright, trademark, privacy or other rights.

 3.⁠ ⁠They have obtained any necessary permissions for third-party content appearing in the artwork.

 4.⁠ ⁠The information supplied to the organiser is accurate.

The artist agrees to indemnify the organiser against third-party claims arising from the artist’s breach of these representations, to the extent permitted by applicable law.

 6.⁠ ⁠Sakura Art Prize Nomination

Where included in the selected package, the nomination is complimentary.

A nomination does not constitute a guarantee of:

•⁠ ⁠Finalist selection

•⁠ ⁠Shortlisting

•⁠ ⁠Winning an award

•⁠ ⁠Receiving a prize

•⁠ ⁠Exhibition selection beyond the stated package

•⁠ ⁠Artwork sales

•⁠ ⁠Media coverage

•⁠ ⁠Collector enquiries

Any judging or award decisions are made according to the applicable award process and criteria.

 7.⁠ ⁠Promotion & Exposure

The organiser may promote participating artists through its available marketing channels.

Artists acknowledge that exposure levels cannot be guaranteed and may vary according to audience behaviour, platform algorithms, media availability, advertising schedules, publication decisions and other factors.

Where promotional material refers to audience, visitor, traffic, reach, impression or circulation figures, such figures should be understood as estimated, historical, projected or third-party figures where applicable, rather than a guaranteed number of individual people who will view a particular artist’s work.

 8.⁠ ⁠PR & Press Campaigns

Where an artist purchases a PR campaign, the organiser will prepare and/or distribute promotional material according to the specific campaign purchased.

Publication on individual media websites is subject to the policies, editorial decisions, technical requirements and availability of the relevant publishers.

Distribution does not guarantee editorial publication, prominent placement, readership, backlinks, sales or media enquiries.

 9.⁠ ⁠Outdoor Advertising

Where an artist purchases an outdoor advertising opportunity, placement is subject to availability, advertising regulations, technical specifications and the terms of the relevant advertising provider.

Any stated footfall or audience figure is an estimated potential audience, not a guaranteed number of people who will view the advertisement.

10.⁠ ⁠Artwork Sales

The organiser may facilitate visibility and opportunities for artists to connect with potential collectors.

However, no sale, enquiry, collector contact, commission, revenue or return on investment is guaranteed.

Unless specifically agreed in writing, the artist is responsible for fulfilling any artwork sale, including payment, packaging, shipping, customs, insurance and applicable taxes.

11.⁠ ⁠Promotional Materials

The organiser may edit artwork descriptions, biographies or promotional copy for length, formatting, translation, consistency or promotional purposes while seeking to preserve the substance of the artist’s information.

The organiser may determine the order, layout, size and placement of artworks within the online exhibition, catalogue and promotional materials.

12.⁠ ⁠Fees & Payments

All package and promotional upgrade fees must be paid according to the payment terms provided at the time of purchase.

Unless otherwise stated in writing, payment confirms the artist’s participation and reserves the selected exhibition and/or promotional services.

All payments made are non-refundable.

13.⁠ ⁠Changes to the Exhibition

The organiser reserves the right to make reasonable changes to dates, layouts, platforms, promotional schedules, venues, media partners or other operational elements where necessary.

If circumstances beyond the organiser’s reasonable control materially affect the exhibition, the organiser may provide an alternative format, date or equivalent service where reasonably possible.

14.⁠ ⁠Limitation of Liability

To the maximum extent permitted by applicable law, the organiser shall not be liable for indirect or consequential losses, loss of income, loss of sales, loss of business opportunities or loss of anticipated exposure arising from participation.

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited.

15.⁠ ⁠Force Majeure

The organiser shall not be responsible for delays, interruptions or inability to provide services caused by circumstances beyond its reasonable control, including technical failures, cyber incidents, internet outages, platform changes, government restrictions, natural disasters, strikes, cancellation of advertising placements or actions of third-party platforms or media organisations.

16.⁠ ⁠Privacy

Personal information provided by the artist will be handled in accordance with the organiser’s applicable Privacy Policy.

Artist information may be used for administration, exhibition management, catalogue production, communications and promotional activities associated with the artist’s participation, subject to applicable privacy laws.

17.⁠ ⁠Acceptance

By purchasing a package, submitting artwork or otherwise confirming participation, the artist confirms that they have read, understood and agreed to these Terms & Conditions.

Before publishing this commercially, add a short “What we guarantee / What we don’t guarantee” box:

✓ Inclusion in the specified exhibition components of your package

✓ Catalogue inclusion where included and submitted by the deadline

✓ The specific nomination/certificate/interview benefits included in your package

✕ Artwork sales

✕ A specific number of visitors, views or impressions

✕ Collector enquiries

✕ Sakura Art Prize finalist/winner status

That distinction is particularly useful because it lets you market the genuine opportunities very strongly while avoiding language that could make exposure or sales sound guaranteed.

For actual use with paying artists, have a lawyer in the jurisdiction governing the agreement review the final Terms & Conditions—especially the refund, liability, privacy, governing-law and intellectual-property provisions.
